1. Who we are

Kaffeeklatsch™ is a social app for women 50 and older, built to help you find meaningful local friendships. It is owned and operated by Kaffeeklatsch, LLC, a company incorporated in the state of Texas.

This Privacy Policy explains what personal information we collect, how we use it, and what rights you have over it. It applies to the Kaffeeklatsch app (app.kaffeeklatsch.app) and the Kaffeeklatsch website (kaffeeklatsch.app).

2. What we collect and why

Account information

When you create your Kaffeeklatsch account, we collect your first name, last name, email address, date of birth, and phone number.

Your first name is displayed in the app. Your last name is stored but never displayed — we use it only to distinguish between members with the same first name. Your date of birth is used to calculate your age range, confirm eligibility, and send you a birthday greeting. Your phone number is used for account verification and, if you opt in, for SMS notifications.

Location

When you enter your address during onboarding, we use it to calculate your geographic coordinates (latitude and longitude) and then discard it. We never store your street address. We store only your coordinates, which we use to calculate the distance between you and other members for the purpose of suggesting women in your area. Your address is never visible to other members.

Your profile

Your profile includes the information you share about yourself during onboarding and afterward: your story, your priorities, your friendship style, your interests, your life transitions, your travel radius, and your avatar choice. This information is used to suggest women who are likely to be compatible with you. Some of it is visible to other members.

Your Meeting Card

If you create a Meeting Card, the photo you add is stored securely in our system. Your Meeting Card is visible only to you until you choose to share it with another member directly in a chat conversation.

Chat messages

Messages you send and receive within Kaffeeklatsch are stored securely. We do not read your messages. If a member deletes her account, her name is removed from the conversation, but the messages themselves remain available to you.

Payment information

When you subscribe to Kaffeeklatsch, payments are processed by Stripe. We never see or store your credit card details. Stripe's own privacy policy governs how your payment information is handled.

Website information

If you submit a form on kaffeeklatsch.app — to join a waitlist, sign up for a Cup & Conversation virtual or in-person gathering, or inquire about a partnership — we collect the information you provide and pass it to MailerLite, our email marketing platform. We use this information only to respond to your inquiry or send you the communications you requested. We will add a cookie and analytics notice to this policy when those tools are implemented on the website.

3. How we use your information

To run the app

To create and manage your account, suggest compatible women in your area, and enable you to connect and communicate with other members.

To communicate with you

To send you account-related notifications and, if you have opted in, SMS notifications — both delivered through Twilio. Marketing and event communications are sent through MailerLite. You can opt out of marketing emails at any time using the unsubscribe link in any email we send you. You can opt out of SMS notifications at any time from your notification preferences in the app.

To improve Kaffeeklatsch

To understand how the app is used, where the experience can be improved, and how our matching works in practice. Any analysis we do for this purpose uses anonymized, non-identifiable data only.

To support research and healthcare partnerships

Kaffeeklatsch may share anonymized, aggregate data with healthcare organizations and aging researchers for the purpose of measuring the health and social benefits of in-person friendship. This data cannot be traced back to any individual member. No researcher or healthcare partner ever has access to individual profiles, personal information, or chat messages. Participation in any voluntary research surveys is always your choice — you can decline without any effect on your membership or your suggestions.

To keep you safe

To enforce our Terms of Service, investigate reported behavior, and protect the integrity of the Kaffeeklatsch community.

We will never sell your data. We will never sell, rent, or trade your personal information to third parties for their own marketing purposes.

4. Who we share your information with

We do not share your personal information with third parties except as described below. Every third party service we use is bound by their own privacy and security standards.

Supabase

Our database and file storage provider. Your profile information, chat messages, and Meeting Card photo are stored on Supabase's secure servers.

Twilio

Our communications provider. Twilio handles email address verification and phone number verification during account creation, delivers account notifications and system emails, and sends SMS messages to members who have opted in to text notifications.

MailerLite

Our email marketing platform. MailerLite manages communications about Kaffeeklatsch news, events, Cup & Conversation virtual and in-person gatherings, and other updates you have signed up to receive.

Smarty

Our address verification service. During onboarding, Smarty confirms that the address you enter exists as a real location and converts it to geographic coordinates. Smarty verifies the address is real — not that it belongs to you. Your address is discarded immediately after verification and is never stored by Kaffeeklatsch.

Stripe

Our payment processor. Stripe handles all subscription payments. We never see or store your credit card information.

Google Analytics

We use Google Analytics on the Kaffeeklatsch website and app to understand how people move through the product — which helps us improve the experience over time. Google Analytics collects anonymized usage data. It does not have access to your profile, your messages, or any personal information.

Healthcare and research partners

We may share anonymized, aggregate data with healthcare organizations and aging researchers for program measurement and research purposes. This data contains no personal information and cannot be traced back to any individual member.

Legal requirements

We may disclose your information if required to do so by law or in response to a valid legal request, such as a court order or government inquiry.

5. How we protect your information

We take the security of your personal information seriously. Here is what we do to protect it.

Your data is stored on Supabase, which uses industry-standard encryption for data at rest and in transit. Access to your data is restricted — only the systems and people who need it to run Kaffeeklatsch can reach it.

We collect only what we need. Your street address is discarded the moment it has been verified and converted to coordinates. Your payment details never pass through our systems — Stripe handles them directly.

Your Meeting Card is visible only to you until you choose to share it.

No system is completely without risk. We cannot guarantee absolute security, but we are committed to handling your information with care and to notifying you promptly if a data breach occurs that affects your personal information.

6. How long we keep your information

We keep your personal information for as long as your account is active or as long as we need it to provide you with the Kaffeeklatsch service.

When you delete your account

When you delete your Kaffeeklatsch account, your personal information is removed from your profile and your name is removed from any chat conversations you were part of. Chat messages themselves remain visible to the other member — they are not deleted. Payment records are retained for as long as required by law and by Stripe's own data retention policies.

Inactive accounts

If your account has been inactive for an extended period, we may contact you to confirm whether you would like to keep it. We will give you reasonable notice before taking any action.

Data we do not retain

Your street address is discarded immediately after verification during onboarding and is never stored. We do not retain it at any point after that.

7. Your rights

You have the following rights regarding your personal information. To exercise any of them, contact us at help@kaffeeklatsch.app.

Access

You can request a copy of the personal information we hold about you at any time.

Correction

You can update most of your personal information directly in the app. If you need help correcting something you cannot change yourself, contact us and we will take care of it.

Deletion

You can delete your Kaffeeklatsch account at any time from within the app. When you do, your personal information is removed as described in Section 6.

Opt out of marketing communications

You can unsubscribe from Kaffeeklatsch marketing emails at any time using the unsubscribe link in any email we send you. Opting out of marketing communications does not affect account notifications, which are necessary to run the service.

Opt out of SMS notifications

If you have opted in to SMS notifications, you can opt out at any time from your notification preferences in the app.

California residents

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect, the right to request deletion, and the right to opt out of the sale of your personal information. We do not sell your personal information. To exercise your California rights, contact us at help@kaffeeklatsch.app.

EU and UK residents

If you are located in the European Union or the United Kingdom, you have rights under the General Data Protection Regulation (GDPR), including the right to access, correct, delete, and restrict the processing of your personal information, and the right to data portability. To exercise your rights or to lodge a complaint with your local data protection authority, contact us at help@kaffeeklatsch.app. We are committed to GDPR compliance as we grow into international markets.

8. Children

Kaffeeklatsch is designed for women 50 and older. We do not knowingly collect personal information from anyone under the age of 18. If we become aware that a minor has created an account, we will delete it promptly. If you believe a minor has registered, please contact us at help@kaffeeklatsch.app.

9. Changes to this policy

We may update this Privacy Policy from time to time as Kaffeeklatsch grows and evolves. When we make a meaningful change, we will notify you by email or through a notice in the app before the change takes effect. The date at the top of this document reflects when it was last updated.

If you continue to use Kaffeeklatsch after a change to this policy takes effect, that constitutes your acceptance of the updated policy. If you do not agree with a change, you can delete your account at any time.
